Are you comfortable coordinating a corporate retreat, onboarding new employees all the while managing all of our office needs? As a Business Operations Specialist, you will be Opencare’s ‘Officer on Deck’ and will report to the company's CEO. We’re looking for someone who is creative, persuasive, organized and multi-talented to help scale our new office, help manage our growing team and take care of all other administrative functions. You will have an immediate impact on the business simply because, well, we have a lot of things going on and this role is critical to company-wide success.

What You’ll Be Doing

Operations

  • Organize and execute company events and retreat, fun monthly team building events and annual corporate retreats that everyone will remember;

  • Coordinate and manage investor board meetings between multiple stakeholders and C-suite individuals across multiple time zones;

  • Manage relationships with vendors;

  • Manage travel arrangements;

  • Responsible for all office and admin duties (ad hoc requests, maintenance of general area/board rooms, file management, inbound/outbound mail, ordering snacks/lunches, ordering supplies, etc.);

  • Provide support to your colleagues as needed.

HR

  • Support recruitment and employee onboarding by working with the back-office to make sure all necessary systems (Wagepoint, Expensify) are up-to-date;

  • Support recruitment efforts - maintaining career pages, posting roles on all job boards, drafting contracts of employees, etc;

  • Maintain company website to add our new recruits, create their email;

  • Act as our “go to” HR rep to answer employee questions regarding salaries, benefits, expenses or work with the back-office to get necessary answers.

Back Office/Finance

  • Offer support with invoices, credit cards, expenses, cheque releases, rent payments, yearly audit requests and quarterly filings for investors (Hockeystick and ffVC);

  • Add creative flare when generating visuals/presentation material based on KPI/Financial data;

  • Manage grants including the grant application process.

  • You have excellent verbal/written communication skills and can interact professionally with any business stakeholder;

  • Enjoy knocking down barriers that get in your way? You are problem solver and get excited about every challenge that comes your way;

  • Love to get people motivated and simulated in a highly collaborative environment? You will need to be a great communicator that is always striving for excellence;

  • To-do lists and accuracy are your forte! You are extremely detailed oriented, quality focused, organized and have excellent project management skills;

  • You can effectively manage projects that involve many stakeholders, as well as foresee everyone’s needs to prevent bottlenecks;

  • You are obsessed with researching and analyzing options to find the right vendor/product/solution;

  • An extrovert who loves socializing and team bonding! You are excited about organizing all kinds of events to bring the team and/or the community together;

  • Being two steps ahead and having an answer before the question is asked is who you are! You have self-starter attitude; you can initiate and drive projects to completion with minimal guidance;

  • You are "tech savvy": knowledgeable in using MS Office, Google Apps, etc., and quickly pick up any other tech solution.

  • You have worked on a small-to-medium sized team;
